Privacy Policy

Effective October 13, 2026

This policy explains how Oakwood Marketing ("we," "us") handles personal information when you visit go.oakwood.marketing, submit an inquiry or advertising lead form, create an account, or use our website and marketing services.

1. Information we collect

  • Information you provide: name, email, phone number, business details, service areas, questionnaire answers, uploaded content, and messages.
  • Account and service information: login details, website settings, subscription status, billing records, and connected accounts you authorize. Payment credentials are processed by our payment provider; we do not store your full card number.
  • Technical and usage information: IP address, browser and device details, pages visited, referring sources, interactions, and cookies or similar identifiers where enabled.
  • Information from authorized integrations and public business sources, such as your business profile, reviews, and social pages, used to provide the services you request.

2. How we use information

We use information to create and manage accounts and websites, respond to inquiries, deliver requested services, process payments, provide support, keep services secure, measure performance, and meet legal obligations. Where permitted and with consent when required, we also use it to communicate offers and measure advertising effectiveness.

Where a legal basis is required, we rely on performance of our agreement, legitimate interests such as security and service improvement, legal obligations, or consent. You may withdraw consent without affecting processing that was lawful before withdrawal.

3. Meta lead forms and advertising

If you submit information through a Facebook or Instagram lead form, we receive the details you choose to provide and use them to respond to your request and discuss relevant Oakwood services. Additional marketing communications require any consent required by law. Submitting a lead form does not automatically enroll you in marketing texts.

Where enabled on a page, Meta Pixel, Conversions API, or similar advertising tools may share visit or conversion events, device identifiers, and permitted matching information with Meta to measure campaigns and show relevant ads. Other analytics or advertising providers may use comparable tools. Such sharing may be considered a sale or sharing for targeted advertising under some privacy laws. Nonessential tracking requires consent where applicable; this policy itself is not a consent mechanism.

Manage platform ad preferences through Meta's Ad Preferences and learn more in Meta's Privacy Policy. Browser cookie settings can limit cookies, but may not prevent all server-side measurement. You may also contact us to object to or opt out of applicable advertising-related processing.

4. Cookies and embedded video

Essential cookies and browser storage support accounts, security, and service functionality. Analytics and advertising technologies, if enabled, help measure visits and campaigns. Our embedded Wistia video may process technical information and video interactions under Wistia's Privacy Policy. You can manage cookies in your browser and use any consent controls provided on the page. Some features may not work when essential storage is blocked.

5. How information is shared

We share information as needed with service providers supporting hosting, payments, email, text delivery, AI-assisted content creation, video, support, and authorized business integrations. We may also disclose information to meet legal obligations, protect rights and security, or in connection with a business transaction subject to appropriate safeguards. We do not authorize service providers to use your information for their unrelated marketing.

Mobile phone numbers, SMS opt-in data, and consent records are not sold or shared with third parties or affiliates for their own marketing or promotional purposes. They may be shared with providers solely to deliver and support the messages you requested, or when required by law.

6. Email and SMS choices

Marketing consent is voluntary and not a condition of purchase. Text message frequency varies and message and data rates may apply. Reply STOP to opt out of marketing texts, HELP for help, or contact sam@oakwood.marketing. Unsubscribe from marketing email using the link in the message. Necessary account, security, and billing notices may still be sent through appropriate channels. See our Terms and Conditions for communication terms.

7. Retention and security

We retain personal information only as reasonably necessary for services, security, billing, dispute resolution, and legal obligations. Retention depends on the information and purpose; backups and legally required records may remain after account deletion. We use reasonable safeguards, but no internet transmission or storage system is completely secure.

8. Your privacy rights

Depending on your location, you may request access, correction, deletion, or a copy of your personal information; restrict or object to processing; withdraw consent; or opt out of sale, sharing, or targeted advertising where applicable. You may exercise these rights or ask about applicable browser privacy signals by emailing sam@oakwood.marketing with the subject "Privacy request." We may verify your identity, and legal exceptions may apply. We do not discriminate for exercising privacy rights. Where applicable, you may appeal a decision by replying to our response or complain to your local privacy authority.

9. Client websites and international processing

When we handle leads or customer information on behalf of a client business, that business controls its collection and use; direct privacy requests to that business first. This policy covers Oakwood's own services, not every client website. Providers may process information in other countries; appropriate safeguards are used where required by applicable law.

10. Children and policy updates

Our services are intended for adults representing businesses, not children under 18. If you believe a child has provided personal information, contact us. We may update this policy and will provide notice of material changes where required; the effective date above identifies this version.
